It's been suggested to ask for RSVPs from our guests. We are only having hor dourves... Our ceremony starts at 2pm and the reception will be over by 6pm. We are at our limit of guests due to the size and table design of our reception location but have a "waiting list". Is it ok to ask for RSVPs to find out who will be coming and if there's available space we could then invite those on the waiting list?
Absolutely. You need those numbers to plan the food. You are proposing an A list and B list (just don't tell people that - LOL). You may want to send out your invites a little earlier - oir request your RSVPs a little earlier for the A list so you can get invites out to anyone on the B list.
Send out your A-list with exactly the number of places your reception venue can accommodate. Then, if anyone declines you fill those slots with B-listers.
It can be tricky. You don't want B-listers to find out they are B-listers.
Here's one scheme. Send out your A-list out of town invitations about two weeks before the in-town invitations. If anyone asks, you can simply say that out of towners need a bit more time.
Then, get on the phone with your out of towners and under the guise of offering hotel or other local information, see if you can find out if they are coming or not. If you get a definite, final "decline" during that call, then make a note and open up another B-list place. Similarly take any mailed-in decline RSVPs and do the same thing.
After those two weeks, see how many B-listers you can bump up. Then send invitations to all the in-town people at once.
Piggs- you'll need to have a final count no matter what. This will help your venue prepare the proper amount of food & of course make sure that the venue has enoguh seating & space for your party.
I'm curious, is your venue having you order your hors d'oeuvres per 100 pieces or are they giving you a per person charge for what they think will be sufficient for the amount fo guests in your party?
I've noticed that banquet venues use both forms but I'm more comfortable ordering per 100 pieces because I have a general idea of how much food I will need from my experience with catering. If you pay a per person charge does that mean that there is an unlimited amount of food provided?
